1. WHAT INFORMATION DO WE COLLECT?

Personal information you disclose to us

In Short: We collect personal information that you provide to us.

We collect personal information that you voluntarily provide to us when you express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:

  • names
  • phone numbers

  • mailing addresses
  • contact preferences

Sensitive Information. We do not process sensitive information.

Social Media Login Data. We may provide you with the option to register with us using your existing social media account details, like your Facebook, Twitter, or other social media account. If you choose to register in this way, we will collect the information described in the section called “HOW DO WE HANDLE YOUR SOCIAL LOGINS?” below.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

Information automatically collected

In Short: Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected automatically when you visit our Services.

We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.

Like many businesses, we also collect information through cookies and similar technologies.

The information we collect includes:

  • Log and Usage Data. Log and usage data is service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services and which we record in log files. Depending on how you interact with us, this log data may include your IP address, device information, browser type, and settings and information about your activity in the Services (such as the date/time stamps associated with your usage, pages and files viewed, searches, and other actions you take such as which features you use), device event information (such as system activity, error reports (sometimes called “crash dumps”), and hardware settings).
  • Device Data. We collect device data such as information about your computer, phone, tablet, or other device you use to access the Services. Depending on the device used, this device data may include information such as your IP address (or proxy server), device and application identification numbers, location, browser type, hardware model, Internet service provider and/or mobile carrier, operating system, and system configuration information.
  • Location Data. We collect location data such as information about your device’s location, which can be either precise or imprecise. How much information we collect depends on the type and settings of the device you use to access the Services. For example, we may use GPS and other technologies to collect geolocation data that tells us your current location (based on your IP address). You can opt out of allowing us to collect this information either by refusing access to the information or by disabling your Location setting on your device. However, if you choose to opt out, you may not be able to use certain aspects of the Services.

  • Affiliates. We may share your information with our affiliates, in which case we will require those affiliates to honor this privacy notice. Affiliates include our parent company and any subsidiaries, joint venture partners, or other companies that we control or that are under common control with us.
  • Business Partners. We may share your information with our business partners to offer you certain products, services, or promotions.

4. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?

In Short: We may use cookies and other tracking technologies to collect and store your information.

We may use cookies and similar tracking technologies (like web beacons and pixels) to access or store information. Specific information about how we use such technologies and how you can refuse certain cookies is set out in our Cookie Notice.

5. HOW DO WE HANDLE YOUR SOCIAL LOGINS?

In Short: If you choose to register or log in to our services using a social media account, we may have access to certain information about you.

Our Services offer you the ability to register and log in using your third-party social media account details (like your Facebook or Twitter logins). Where you choose to do this, we will receive certain profile information about you from your social media provider. The profile information we receive may vary depending on the social media provider concerned, but will often include your name, email address, friends list, and profile picture, as well as other information you choose to make public on such a social media platform.

We will use the information we receive only for the purposes that are described in this privacy notice or that are otherwise made clear to you on the relevant Services. Please note that we do not control, and are not responsible for, other uses of your personal information by your third-party social media provider. We recommend that you review their privacy notice to understand how they collect, use, and share your personal information, and how you can set your privacy preferences on their sites and apps.

6. HOW LONG DO WE KEEP YOUR INFORMATION?

In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this privacy notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than 1 year.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

7. HOW DO WE KEEP YOUR INFORMATION SAFE?

In Short: We aim to protect your personal information through a system of organizational and technical security measures.

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.

8. DO WE COLLECT INFORMATION FROM MINORS?

In Short: We do not knowingly collect data from or market to children under 18 years of age.

We do not knowingly solicit data from or market to children under 18 years of age. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent’s use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. 9. WHAT ARE YOUR PRIVACY RIGHTS?

In Short: You may review, change, or terminate your account at any time.

If you are located in the EEA or UK and you believe we are unlawfully processing your personal information, you also have the right to complain to your local data protection supervisory authority.

Withdrawing your consent: If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us by using the contact details provided in the section “HOW CAN YOU CONTACT US ABOUT THIS NOTICE?” below.

However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.

Opting out of marketing and promotional communications: You can unsubscribe from our marketing and promotional communications at any time by clicking on the unsubscribe link in the emails that we send, replying “STOP” or “UNSUBSCRIBE” to the SMS messages that we send, or by contacting us using the details provided in the section “HOW CAN YOU CONTACT US ABOUT THIS NOTICE?” below. You will then be removed from the marketing lists. However, we may still communicate with you — for example, to send you service-related messages that are necessary for the administration and use of your account, to respond to service requests, or for other non-marketing purposes.

Cookies and similar technologies: Most Web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Services. 10. CONTROLS FOR DO-NOT-TRACK FEATURES

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track (“DNT”) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this privacy notice.

11. DO CALIFORNIA RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?

In Short: Yes, if you are a resident of California, you are granted specific rights regarding access to your personal information.

California Civil Code Section 1798.83, also known as the “Shine The Light” law, permits our users who are California residents to request and obtain from us, once a year and free of charge, information about categories of personal information (if any) we disclosed to third parties for direct marketing purposes and the names and addresses of all third parties with which we shared personal information in the immediately preceding calendar year. If you are a California resident and would like to make such a request, please submit your request in writing to us using the contact information provided below.

If you are under 18 years of age, reside in California, and have a registered account with Services, you have the right to request removal of unwanted data that you publicly post on the Services. To request removal of such data, please contact us using the contact information provided below and include the email address associated with your account and a statement that you reside in California. We will make sure the data is not publicly displayed on the Services, but please be aware that the data may not be completely or comprehensively removed from all our systems (e.g., backups, etc.).

12. DO WE MAKE UPDATES TO THIS NOTICE?

In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.

We may update this privacy notice from time to time. The updated version will be indicated by an updated “Revised” date and the updated version will be effective as soon as it is accessible. If we make material changes to this privacy notice, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. We encourage you to review this privacy notice frequently to be informed of how we are protecting your information.

14. HOW CAN YOU REVIEW, UPDATE, OR DELETE THE DATA WE COLLECT FROM YOU?

Based on the applicable laws of your country, you may have the right to request access to the personal information we collect from you, change that information, or delete it.

15. GOOGLE API SERVICES USER DATA POLICY

Vibe SEO’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Scope requested. Vibe SEO requests only the read-only Google Search Console scope (https://www.googleapis.com/auth/webmasters.readonly). It cannot modify your Search Console settings, your website, or anything else in your Google account.

What we access and why. Once you grant consent, Google APIs return to Vibe SEO, on your behalf, your Search Console site list and search-performance data (queries your site appeared for, impressions, clicks, and average ranking position). This data is used solely to render the SEO insights you requested inside your own WordPress admin dashboard. We also receive your Google account email at consent time, displayed only so you can confirm which account is connected.

Limited Use. We use Google user data only to provide and improve the user-facing SEO features that you explicitly enabled. We do not use this data for advertising, including retargeted or personalized advertising. We do not transfer it to others unless necessary to provide or improve these features, comply with applicable law, or as part of a merger, acquisition, or sale of assets with notice to users. We do not allow humans to read this data except where you have given explicit consent, where required for security investigations or to comply with applicable law, or in aggregated and anonymized form for internal operations. Google user data is never used to develop, improve, or train generalized AI or machine learning models.

Where the data is stored. Vibe SEO operates an OAuth broker at vibeseo.com that transits the Google OAuth handshake and proxies authenticated API calls so that the OAuth client secret is never exposed to your WordPress install. The broker does not persistently log or store your Google user data or refresh tokens. The long-lived OAuth refresh token issued by Google is stored on your own WordPress install (in the vp_tenant_meta database table) and is never transmitted elsewhere beyond the proxied API calls you initiate.

Revoking access and deleting your data. You may disconnect at any time from the Vibe SEO dashboard. Clicking Disconnect immediately deletes the OAuth refresh token, the cached Google account email, and the selected property from your WordPress install. You may additionally revoke Vibe SEO’s authorization from your Google account at https://myaccount.google.com/permissions; doing so invalidates the refresh token at Google’s end. Search-performance data displayed on your dashboard is fetched on demand from Google APIs and is not stored beyond short-lived caches; once you disconnect, no further data is retrieved.

16. WHO PROCESSES YOUR DATA (SUB-PROCESSORS)

Vibe SEO uses the following third-party service providers (“sub-processors”) to deliver the Service. Each is contractually bound by its own data-protection and security commitments. We may add or change sub-processors as our infrastructure evolves; the current list is maintained here. If you require advance notice of changes for a vendor-risk program, email admin@vibeseo.com and we will add you to the change-notice list.

17. DATA RETENTION

We retain personal information only for as long as necessary for the purposes set out in this Privacy Policy or as required by applicable law. Specifically:

  • Subscriber-account records — retained for the lifetime of your subscription plus seven (7) years thereafter to satisfy U.S. tax recordkeeping and contract statute-of-limitations requirements.
  • Service-agreement records and signed PDFs — retained for seven (7) years from the date of acceptance.
  • Application and server logs — retained for up to thirty (30) days unless a longer retention is required for security investigations or legal compliance.
  • Backups — retained for up to ninety (90) days on a rolling basis.
  • Deleted account data — purged from production systems within thirty (30) days of account closure, except where retention is required by law (e.g., tax or audit).
  • Google Search Console OAuth refresh tokens — stored on your own WordPress install (not on Vibe SEO servers) for as long as the integration remains connected; deleted immediately on Disconnect.

Aggregated and anonymized data that cannot reasonably be associated with you may be retained indefinitely for analytics and product-improvement purposes.

18. EU/EEA AND UK USERS (GDPR)

If you access the Service from the European Economic Area, United Kingdom, or Switzerland, the following rights apply under the EU/UK General Data Protection Regulation:

Lawful bases. We process your personal data on one or more of the following bases: (a) performance of the contract you have with us; (b) your consent (where required, such as for marketing emails); (c) compliance with a legal obligation; and (d) our legitimate interests in operating, securing, and improving the Service, balanced against your rights.

Your rights. You have the right to (i) access the personal data we hold about you; (ii) correct inaccurate or incomplete data; (iii) request erasure (“right to be forgotten”); (iv) restrict processing in certain circumstances; (v) object to processing based on our legitimate interests; (vi) data portability for data you provided to us; and (vii) withdraw consent at any time where processing is based on consent. To exercise any of these rights, contact admin@vibeseo.com. We will respond within thirty (30) days, extended by up to sixty (60) days where requests are complex or numerous.

International transfers. Vibe SEO is operated from the United States. The sub-processors listed in Section 16 are also U.S.-based. Where personal data is transferred from the EEA, UK, or Switzerland to the United States, transfers rely on the European Commission’s Standard Contractual Clauses or equivalent UK/Swiss transfer mechanisms.

Supervisory authority. You may lodge a complaint with the data-protection authority of the EEA, UK, or Switzerland country where you live or work, or where the alleged violation occurred.

EU representative. Vibe SEO does not currently have an EU representative. We will appoint one if our EU-resident user base reaches a level requiring it under Article 27 GDPR.

19. CALIFORNIA RESIDENTS (CCPA / CPRA)

This section consolidates and formally labels the rights summarized in Section 11. Under the California Consumer Privacy Act (“CCPA”) and California Privacy Rights Act (“CPRA”), California residents have the right to:

  • Know what personal information we collect, the sources from which we collect it, the business purposes for collecting it, and the categories of third parties with whom we share it. Categories, sources, purposes, and recipients are described throughout this Privacy Policy and in Section 16 (Sub-Processors).
  • Access the specific pieces of personal information we have collected about you in the preceding twelve months.
  • Delete personal information we have collected about you, subject to certain exceptions (e.g., to complete a transaction, detect security incidents, or comply with legal obligations).
  • Correct inaccurate personal information we hold about you.
  • Limit the use of “sensitive personal information” to purposes necessary to provide the Service. We do not currently collect sensitive personal information beyond what is necessary.
  • Opt out of any sale or sharing of personal information for cross-context behavioral advertising. Vibe SEO does not sell or share your personal information for cross-context behavioral advertising.
  • Non-discrimination — you will not be denied service or charged different prices for exercising your CCPA rights.

To exercise any of these rights, email admin@vibeseo.com with the subject line “CCPA Request” and identify which right you are exercising. We will verify your identity using reasonable means (typically by confirming the request from the email address associated with your account) and respond within forty-five (45) days. Authorized agents may submit requests on your behalf with written authorization.

20. CHILDREN UNDER 13 (COPPA)

The Service is intended for use by business owners, marketers, and website operators who are adults. Vibe SEO does not knowingly collect personal information from children under the age of 13. If we become aware that we have collected personal information from a child under 13 without verifiable parental consent, we will take steps to delete that information promptly. If you believe a child has provided personal information to us, please contact admin@vibeseo.com so we can investigate and respond.

21. DATA BREACH NOTIFICATION

In the event of a personal-data breach that is likely to result in a risk to your rights and freedoms, Vibe SEO will:

  • Notify the relevant supervisory authority within seventy-two (72) hours of becoming aware of the breach where required by applicable law (including Article 33 GDPR);
  • Notify affected users without undue delay where the breach is likely to result in a high risk to their rights and freedoms (Article 34 GDPR), or where required under U.S. state breach-notification statutes;
  • Provide, in each notification, a description of the nature of the breach, the categories and approximate number of affected users and records, the likely consequences, and the measures taken or proposed to mitigate possible adverse effects.

22. DATA PROCESSING ADDENDUM (DPA)

Business customers whose use of the Service involves processing personal data of EEA, UK, or Swiss residents on behalf of their own end users (a controller-to-processor relationship under GDPR Article 28) may request a Data Processing Addendum. Email admin@vibeseo.com with the subject line “DPA Request” and we will provide our current template. The DPA, once executed by both parties, supplements and is incorporated into these Terms.

23. VIBE AI — POWERED BY CLAUDE (AI ASSISTANT)

Vibe SEO includes an optional admin-side AI assistant called “Vibe AI — Powered by Claude” that customers can activate inside the WordPress plugin. This section explains exactly what data is sent, where, and on whose behalf. Vibe AI is off by default and remains fully dormant until two gates are met: the customer supplies their own Anthropic API key, AND the customer accepts the data-processing disclosure shown in their WordPress admin.

How it works. When a customer interacts with Vibe AI inside their WordPress admin, their conversation and selected on-page context (the page or post they are editing, their tenant business profile, the active Vibe SEO tool) are transmitted directly from their WordPress install to Anthropic, L.L.C. (“Anthropic”) using the customer’s own Anthropic API key. Vibe SEO does not receive, store, intercept, or relay these conversations. Anthropic processes the request under the customer’s own Anthropic account.

Anthropic’s role. Anthropic operates the Claude API and is an independent third-party sub-processor for the AI conversation traffic. Their terms govern how Anthropic handles that data:

As of the date of this Policy, Anthropic publicly states that data submitted through the Claude API is not used to train Anthropic’s models by default. Anthropic’s current policies control on this point.

What the agent can and cannot do. Vibe AI is scoped at the plugin level to act only within the customer’s own WordPress site under that customer’s logged-in WordPress user capabilities. Destructive or irreversible actions (publishing, deleting pages, bulk content edits) are gated behind explicit in-product confirmation; routine writes are logged with an undo audit trail. Vibe AI is hard-blocked by a plugin-level deny-list from: modifying the Vibe SEO plugin code, modifying other plugins or themes, deactivating or deleting plugins, creating or elevating administrator users, changing site URL or admin email, or performing mass deletions.

Conversation storage. Conversation transcripts persist on the customer’s own WordPress install (in the vp_chat_threads and vp_chat_messages tables, scoped per user and per tenant). They are not transmitted to vibeseo.com. Clearing or rotating the Anthropic API key in Site Settings deactivates Vibe AI immediately. Revoking acceptance of the data-processing disclosure also deactivates Vibe AI until re-accepted.

Customer obligations when activating Vibe AI. By activating Vibe AI, the customer represents that they have read this Section 23 and the linked Anthropic policies, that they accept the role of data controller for any personal data they choose to include in their prompts, and that they will not include personal data of third parties in Vibe AI prompts beyond what is lawful and minimally necessary for the task at hand.

Withdrawing consent. The customer may deactivate Vibe AI at any time from their WordPress admin (Site Settings → Vibe AI — Powered by Claude) by clearing the stored Anthropic API key, by revoking acceptance of the disclosure, or by deactivating the Vibe SEO plugin entirely. Past conversation transcripts remain on the customer’s own install until they are deleted by the customer or removed automatically per the retention windows in Section 17.
